Who is Balaur Data Extractor for?
Any industry. Balaur Data Extractor is industry-agnostic and extracts data from any document, physical or digital, so almost any business with paperwork can use it: trades and construction, transport and delivery, hospitality, retail and online sellers, farming, property managers and landlords, health, beauty and fitness practices, bookkeepers and accountants, freelancers, automotive and mobile services, not-for-profits, clubs and schools, and inspectors and assessors. Sole traders and households use it at tax time too. If you type numbers off receipts, invoices, bills, dockets, forms or screens, it can do that typing for you.
Does a person check the results?
Yes, always. Balaur Data Extractor reads and suggests; you check, correct and confirm. Each value is shown beside the page it came from, a reading that looks off is flagged instead of quietly filed, and a layout is only repeated after you have confirmed it. Tax figures are estimates for you or your accountant to confirm, and nothing is lodged or sent anywhere without you.
Is Balaur Data Extractor cloud-based or local?
Balaur Data Extractor is local-first: your extracted data, analysis, charts and your local database all stay on your own device and are never stored on our servers. Two things do use the internet — signing in to verify your subscription, and reading text from documents. When a document is read online, its image is sent through our licence service to a text-recognition service on overseas servers (currently in the United States, with backup servers in other regions), processed, and then deleted; it isn't stored or archived. An internet connection is therefore required to sign in and to read documents.
Is my data ever uploaded to the cloud?
Your documents and extracted data are never
stored on our servers. A few things do go online: on mobile, every photo is read by our online text-recognition service; on desktop, text is read on your own computer first, and only a page or part of a page it can't read is sent online. Online reading is included in your plan, with no key to set up, and the service reads the image and then deletes it. Talk 'n Tally voice sends each recording through our licence service to a transcription service and nothing is kept, and Ask Claude sends only what each request needs, on your own key — both optional. Our Privacy Policy describes every service involved and where it runs. Everything else runs on your own computer, and your phone's records go straight to your PC over your own network. See our
Privacy Policy for the detail.
Does it need an internet connection?
Yes. Both the desktop and mobile apps need an internet connection to work: they verify your licence online, count the pages you read, and reading text from documents can use an online service. If your internet or one of those services is temporarily unavailable, sign-in or text reading may be interrupted until the connection is restored — this is the trade-off that keeps the price low. Once your data is extracted, all the analysis, charting and tax work runs on your own machine. Sending records from your phone to your PC needs both devices on the same Wi-Fi network.
What does it cost — how do pages work?
You pick a plan level for the pages you need each month — Starter 100, Business 1,000 or Pro 25,000 — on Android, Windows or both. Starter is $14.99/mo mobile, $19.99/mo desktop or $24.99/mo for both; Business is $34.99, $49.99 or $64.99; Pro is $89.99, $129.99 or $159.99 (all AUD, incl. GST; a year costs ten months). Every page read counts once, each saved Talk 'n Tally entry uses 1 page per 10 line items, and all the devices on your plan share the same pages. Page packs from $9.99 (+50 pages) top you up and never expire. On Pro and Team plans, extra pages are $0.02 each up to a spending cap you set. Try it first: the free trial gives you 5 pages or 1 day, whichever comes first, with no card.
How does the free trial work?
Download the app, choose Try it free, enter your email and open the link we send. The trial gives you 5 pages or 1 day from confirming your email, whichever comes first, with no card needed. It also includes one Talk 'n Tally entry. When it ends, the whole app (including Data Tools, Tax mode and Balaur Studio) locks until you choose a plan. There is one free trial per phone or computer and per email address, and it needs a real email address you can receive mail at.
Does Ask Claude cost extra?
Ask Claude is optional. It uses your own API key, which is separate from any chat subscription and billed pay-as-you-go by the provider: a typical request is about 1–2 US cents, and the minimum top-up is US$5. Once Claude has set up a format, the desktop app repeats it on your PC with no further requests. Every mode works fully without a key.
Does Talk 'n Tally voice cost extra?
No key to set up. Voice is included every day, shared by the phones on your plan: 30 minutes on Starter, 1 hour on Business, 2 hours on Pro and more on Team plans. A busy day of invoices takes about 10 minutes. If you go past it, the app asks once that day before extra voice uses 1 page per minute, and typing is always free. A saved entry uses 1 page per 10 line items, spoken or typed, and the app shows the count before saving anything over 10 items. Each recording can be up to 60 seconds, and recording only stops when you tap stop, so you can take your time. The free trial includes one Talk 'n Tally entry. Only the recording, the template's language and your saved names for that field are sent for transcription, and nothing is kept once the text comes back.
Which accounting software can I export to?
The desktop app creates import-ready files for Xero, MYOB AccountRight, QuickBooks Online and Sage Accounting, brought in through each program's own import screen, tested in all four (MYOB files are for AccountRight — MYOB Business Lite and Pro can't import sales or bills from a file). There are also files in the layouts of other popular programs and a generic CSV for any software that lets you match columns on import; only the four above have been import-tested, so check the others in your software before relying on them. Balaur Data Extractor feeds your accounting software; it doesn't replace it.
What documents can it handle?
Receipts, invoices, bills, statements and letters — as photos, scans or PDFs — plus pages from online portals and bills that arrive by email. You can also bring in any existing Excel or CSV file to clean up, total and chart.
Can I send invoices and records to my customers?
Yes. On the phone, every invoice, quote, receipt and captured document can be shared as a professional PDF with your business details, logo and any photos attached — straight to your customer or your own inbox, one document at a time. Bulk reports and accounting exports are done on the PC.
What happens to my data if I cancel?
Your data already lives on your computer — in your Excel files, CSVs and local database — so it stays with you regardless of your subscription status. Cancelling simply ends access to the app, not your data.
What platforms does it run on?
The desktop app runs on Windows 10 or 11 (64-bit). The mobile app runs on Android. Use either on its own, or both together so you can capture on your phone and finish on your PC.
